Help
Zoom and Sagena.
Connect Zoom and the transcript of each recorded call lands on the right couple's page, next to their emails and texts, so the next person who speaks to them knows what was said.
Last updated 7 October 2026.
Before you start
- A Zoom plan that includes cloud recording.
- Audio transcript switched on in Zoom, under Settings, then Recording. Without it Zoom makes no transcript and Sagena has nothing to bring in.
- Your Sagena sign-in.
Add Zoom
- Sign in at venue.sagena.ai.
- Open Settings, then Integrations, then Zoom.
- Click Connect Zoom.
- Zoom asks whether Sagena may read your recordings. Click Allow.
- You come back to the same page. It now shows the Zoom account you connected and the time of the last sync.
If you start from the Zoom App Marketplace while signed out of Sagena, you will see the Sagena sign-in page first. Sign in, then follow steps 2 to 5.
If it does not connect. Check that you are signed in to the Zoom account that makes your recordings, and try again. If the page shows an error, send us the words in brackets at the end of the message and we will sort it out.
How it works
Once a day Sagena looks at your Zoom cloud recordings from the last 30 days and brings in the transcript of any call it has not seen. You can also click Sync now on the Zoom page to do it straight away.
Recent meetings on that page lists the last five calls, each marked Transcript or No transcript. A call Sagena can place also appears on that couple's page, in their timeline.
Sagena works out which couple a call was with in this order:
- The Zoom meeting was made by a Calendly booking that Sagena already holds.
- The meeting's name has one partner's first and last name, or both partners' first names. “Sarah Smith walkthrough” and “Sarah & Tom catch-up” both work. “Sarah tour” does not, because you may have more than one Sarah.
- Exactly one virtual tour was booked for that time.
A call Sagena cannot place is still listed under Recent meetings. It is not put on any couple's page, because a wrong guess is worse than none.
What Sagena reads
- The email address of the Zoom account you connect.
- The list of your cloud recordings: name, date and length.
- The written transcript Zoom made for each one.
Sagena does not download the video or the audio. It cannot start, schedule, change or delete anything in Zoom, and it only sees the recordings of the Zoom user who connected, not your whole Zoom account.
Transcripts are stored in your venue's private account. We pass the text to our AI provider, Anthropic, to pull out the facts for the couple's record. Anthropic does not train models on it, and neither do we. The privacy policy has the rest.
If something looks wrong
- A call says No transcript. Zoom had no transcript for it yet. Zoom can take a while after a call ends, so Sagena looks again each day for 7 days. If it never arrives, check that audio transcript is on in Zoom.
- A call is missing. It was recorded to a computer and not to the cloud, it is more than 30 days old, or it was recorded by a different Zoom user from the one connected here.
- The page says the Zoom token is no longer valid. Zoom has ended the connection, usually because the app was removed in Zoom. Click Connect Zoom again.
- A call is on the wrong couple. Write to us and we will move it.
Remove Zoom
From Sagena. Open Settings, then Integrations, then Zoom, and click Disconnect. Sagena hands its access back to Zoom and deletes the stored login tokens straight away.
From Zoom. Sign in to the Zoom App Marketplace, open Manage, then Added Apps, and click Remove next to Sagena. Zoom cuts off our access at once.
What happens to your transcripts.Removing Zoom stops new transcripts coming in. The ones already in Sagena stay in your venue's account, as part of your record of each couple, until you ask us to remove them. Write to isadora@sagena.ai and we delete them within 30 days.
